We're excited to share the latest improvements and fixes in this month's release.
In our profitability and invoicing dashboards, you can now filter data by yearly, quarterly, or monthly periods. This makes it easier to analyze trends and aligns with the reporting workflows many users already rely on.

Email templates now support additional contact-related keywords, including:
${CONTRACTOR_1_FIRST_NAME}${BUILDER_1_FIRST_NAME}These keywords can now be used in most email templates to personalize communication.
Important: Invoice emails are excluded from this improvement.
This update includes the latest library content, CCTB01.13CCTB01.13 and Bouwtechnisch Bestek 2025.
It also includes improvements to ensure greater accuracy, better consistency, and closer alignment with the latest standards. In addition, this release contains a fix for the previously reported issue affecting the bill of quantities libraries, helping to improve the overall user experience.
Keep your data clean and accurate. In the Settings – Internal Costs you can select the option “Prevent new time entries when a phase is completed (100%).” When selected, users can no longer log new time on phases that are already completed (100%).
They can still edit or remove their own existing time entries, but cannot add new ones.
Only Cloud Admins and Project Admins can add time entries when needed.

Gain better control over sensitive templates. You can now restrict file templates—such as document, bill of quantities, and invoice templates—to specific roles, helping keep sensitive documents restricted.
This setting is only visible and can only be configured by users with permission to manage document settings, without affecting your overall permission structure.

More flexibility when managing projects. As a project admin, you can now move invoices between phases within the same project, making it easier to adapt as things evolve.
1. Move invoices between closed projects: Admins can now move invoices from one project to another. This is especially useful during audits or project reviews, when an invoice may have been linked to the wrong project, contract, or phase. Invoices can now be reassigned easily to ensure accurate reporting and maintain data integrity.
2. Excel templates for reminders: You can now use XLSX (Excel) templates for reminders. Please note that invoice lines cannot be created from Excel templates. We recommend using Excel templates only for reminders.
3. Improved Outlook add-in processing: Special characters in email subjects are now automatically replaced when saving emails in ArchX. This reduces errors and allows emails to be saved faster without requiring manual text corrections.
4. Document content search results: We fixed an issue where document content searches showed “x results found” but the actual results were not displayed. Search results are now displayed correctly.
5. More efficient exports of large dashboards: We have improved the export process for large dashboards to prevent timeouts during export creation. Exports containing large amounts of data may still take some time to complete. Once ready, they will be available for download from the Exports page or directly from the dashboard.
6. Contact exports now include language: When exporting contacts, the contact language field is now included in the export file.
7. Improved activity feed in task dashboard: We fixed an issue where activities in the task dashboard were not displayed in the correct order. The most recent activities now appear at the top, and clicking an activity opens the related task details.
8. Other improvements and bug fixes
You can now choose to send invoices exclusively through Peppol, without sending an accompanying email. This prevents recipients from receiving unnecessary or unwanted emails.

To support this improvement, the Send Email window has been streamlined. As you can see in the screenshot above, it now includes two ON/OFF switches:

In the previous interface, see screenshot below, some users selected “Post” with Peppol enabled as a workaround to avoid sending an email. This process has now been simplified—just switch Send e-mail OFF.

You can now attach files directly from your computer to invoice emails. This allows you to include documents that you do not wish to store in ArchX, while still sending them securely to the invoice recipient.
Please note that this functionality is available only when the “Send e-mail” option is enabled.
A new keyword, ${TOTAL_HOURS_INVOICED}, has been added to invoice templates. The use of this keyword in your template automatically displays the total number of hours included on the invoice.
An issue that allowed projects to be created without an assigned administrator has been resolved. Since every project requires a mandatory project administrator, this validation is now correctly enforced.
1. New task settings permission: A new permission specific to task settings has been added. It is assigned the same permission that is currently associated with tasks by default.
2. New document settings permission: A new permission specific to document settings has been added. It is assigned the same permission that is currently associated with documents by default.
3. Proforma date is now editable: The proforma date is now an editable field (just like the invoice date) and can be changed at any time while creating and sending invoices.
4. Save emails to documents: The document settings provide a toggle to always enable by default the option to save the email in ArchX.
5. Reason for VAT exemption: The billing module now shows the reason for VAT exemption at 0% VAT rates.
6. Redundant time entry block: The “Time entries of the Day” block has been removed because the displayed data is also visible in another block on the same page.
1. Invoices sent to accounting: It is now possible to see which invoices have been sent to the accounting mailbox. In the invoices module, this is visible in the History block of each invoice. In the Peppol Inbox, a new icon appears next to the invoice number when an invoice has been accepted and sent directly to the accounting mailbox.
2. Peppol Inbox filtering: It is now possible to filter and search elements in the Peppol Inbox.
3. Download zip files: It is now possible to download ZIP files that contain multiple documents with the same name. The documents are automatically renamed to: document, document (1), document (2),...
4. Reminders and Proformas on Peppol: Sending reminders and proforma invoices via Peppol is no longer supported, as Peppol is only intended for official invoices and credit notes.

2. Search contacts by company name: When searching for contacts, results are now also shown based on the company name, in addition to first name and last name (previously, searching by company name was only possible via advanced search).
3. Validation of the VAT format: VAT numbers are now validated in ArchX based on their format. Each country has its own VAT number format, and entering them correctly is important to avoid future problems. Each VAT number must begin with an ISO country code followed by alphanumeric characters.
4. Quantities on invoice lines: It is now possible to set quantities for invoice lines so that one line can contain multiple pieces of the same invoiced item. This provides greater flexibility and better compatibility with invoices received via Peppol.
5. Profitability dashboard improvement: Fixed a rare issue where the total amount was not displayed correctly.
6. Time Entries dashboard improvement: Fixed a display issue where details disappeared when switching between User and Project Views.
7. Filtering invoice exports: Fixed an issue where exported invoices were not filtered correctly.
8. Improper daily workload in planning: Fixed an issue where the current day's workload was not correctly displayed in the schedule.
9. Downloading multiple documents: Fixed an issue where downloading multiple documents at the same time did not work.

2. Reactivate companies: Deactivated companies can now be reactivated in the settings.
3. Performance export: Exports now include start and end times of time entries, as well as a new export layout with a monthly time entry overview.
4. Time Entries budgeted vs. recorded: An issue has been fixed where the registered vs. budgeted (h) chart is not reloaded properly when changing projects.
5. Planning work hours: An issue has been fixed where the work hours in the planning were incorrect.
6. Project budget correction: The budgeted hours no longer include time entries with an hourly rate.
1. Refresh invoice email templates: A new button allows the user to reimplement an email template after changing the communication field, so that the email body is regenerated.
2. Bill Of Quantities total value: Fixed a bug where the total was only visible after opening an item.
3. Filtering contracts by phase: Fixed an issue where filtering by phase is sometimes ignored.
4. Invoice templates separation: Now only the invoice templates of the currently used company are visible in the template selector.
5. Easily visible contract custom rates: If a custom rate is set, the 'Custom Rate' button is highlighted for easier visibility.
6. Custom invoice exports: invoices are now exported with the columns currently shown, allowing for customization of the exported columns.
7. Search for contacts with multiple emails: When a contact has multiple emails, each email will be displayed separately when searching for a contact, making sending emails easier.
8. Absences per hour: It is now possible to register absences by the hour.
9. Office dashboard margin: The margin is now shown in percentage (%) value too.
10. Standard email templates: It is now possible to send regular emails based on email templates, just like documents or invoices.
11. Only access contract dashboards: Users with the 'Can only access the contract if he's the administrator of the project' flag can only access their own projects' invoicing dashboard.
12. Documents page size: Fixed an issue where the page size on the Documents page could not be changed.
13. Invoices sent by post: Files are now saved also when sending an invoice by post.
14. PDF integrated in the UBL file: The invoice PDF files are now automatically integrated in the UBL files sent to the accountancy software.
1. Exports: Exported files are automatically deleted after 30 days.
2. Bill of Quantities Excel layout: Improved layout when generating.
3. Invoice exports: A column with the proforma number has been added to the invoice export file.
4. Invoice settings: It is now possible to configure whether the PDF and/or UBL should be sent to the accounting software.
5. Document downloads: The document module now allows bulk downloads up to 50 MB (instead of only 10 files).
6. Export improvement: Exported phases now show the PERCENTAGE type with the percentage amount.
7. Invoice milestones: Invoice milestones are now editable in the phase slider.
8. Dashboard usability: Export columns can now be selected without loading the full dashboard.
9. Bug fixes & performance improvements: Various fixes and performance enhancements implemented.
